As the head of the billing department this problem should be my foremost concern until this situation is rectified. First, I will create a team that is specifically designed to initially determine the origin of the issue and then subsequently design a resolution that will ensure that the current issue is resolved and that this situation does not occur again in the future. In order to assure that my designated team will be both effective and cohesive I will place an emphasis on choosing individuals who operate effectively in a team environment as well as those with the technical knowledge necessary to understand, correct, and implement the changes needed for future billing success. I will choose workers who clearly hold the essential work ethics; however I will also stress on those who think work harder rather than persons who are more comfortable with certain situations.
There is a possibility that certain information may need to be rekeyed into the system. I may choose to have a competition for the data entry personnel. The individual who has the fastest and most accurate keying times will receive a compensatory bonus at the end of the project. If the problem is mostly related to a system type error, then for the employees that perform most of the IT type of work, I will offer another type on incentive to the individual who can most quickly and correctly patch the problem and then another to the employee who can create a program that will prevent this error in the future. In addition to these small fiscal rewards, I will also operate this team in an environment where open discussion and effective communication between all players is not only expected but mandated.
